Welcome and opening..Joe Rivard

Financial Report:
$2,738.56 as of Monday September 17. This includes $250 received from for the Townley funeral as well as the proceeds from the salad supper. In reponse to a question by Barry Tate it was ascertained that the deposit was made by Arlene Oakes (not present at this meeting) and Barry asked a follow up question..as to whether or not this is a business account.
Proposed contract for events:
presented by Joe Rivard After discussion, the contract was amended on two points:
1.Number expected to be in attendance“¦“¦“¦“¦“¦“¦“¦“¦“¦“¦“¦“¦.to be confirmed one week prior.
2.Non-refundable deposit“¦30%
Cost for events:
A motion was made by Patti Cragg and seconded by Mary Greaves that each event must “pay it's own way” i.e. all food WILL be purchased NOT donated. After passing this motion and comparing prices to Sobey's and the Legion 3 prices were determined.
1.light lunch“¦$4.00
2.full lunch“¦.$7.00
3.dinner..$14.00
A motion made by Patti Cragg and seconded by Barry Tate agreed on these prices and was passed with the caveat “To be reviewed in one year.”
Following the passing of this motion Marion Sim suggested that it should be made clear that the cost of the funeral catering is NOT included in the cost of the funeral. It is obvious from misunderstandings at the Goddard and Townley funerals that this is necessary. Dana Bachman, the secretary, was tasked to write a letter to Jardine Funeral home including the contract and the price list and asking them to hand out this information. A copy of this letter will also be sent to Joe Rivard and Arlene Oakes.
Fund Raising opportunities:
1.Craft Sale: Much interest has been expressed in this event in regards to renting tables. Additional ideas were suggested to add to the revenue of this event. A bake sale (as we did last year) and a $1 bottle draw was proposed by Lucy Craig. This second idea was greeted with much enthusiasm. However, since Yvonne Moore, the co-ordinator of this event was absent we deferred any decision.
2.Rotary events, proposed by Wayne Hutchison:
i)Rotary New Members Dessert meeting ,Thursday November 22, 7pm
Motion to accept this opportunity was moved by Joe Rivard and seconded by Marion Sim. The cost will be $4.00 per person, includes squares, cookies, tea and coffee. Numbers will be confirmed by Wayne one week before. Motion passed.
ii)Rotary Annual Christmas Party, Thursday December 6
Motion to accept this opportunity was moved by Joe Rivard and seconded by Marion Sim. The cost will be $15. The numbers will be 35- 40 people and it will be a full turkey/ham dinner with dessert. The price will be confirmed to Joe Rivard by Wayne Hutchison after discussion with Rotary members at their next scheduled meeting. Numbers will be confirmed one week prior to the event. Motion passed
iii)Rotary dinner once a week
unanimous consensus “NO”
iv)Rotary Paul Harris awards dinner, Thursday May 15th
roast beef dinner $15, 30 people approximately, accepted in principle. To be brought forward for further discussion closer to the date.
3.OPP dinner , December 5.
It was decided in a motion proposed by Andrew Bremner and seconded by Mary Greaves that we do NOT cater this event this year.
Rationale“¦we have held this event for the past 3 years and it has not been a big fund raiser in terms of cost effectiveness. This reason and the fact that the OPP event (Dec 5) and the Rotary event (Dec 6)would be “back to back” led to the “No” vote.
4.Musical evening, date to be determined
$10 per person, includes admission and cookies, squares, tea, coffee, juice. A suggestion was made by Patti Cragg that COSTCO is an excellent cost effective source for these items. Accepted in principle. To be brought forward for further discussion when the date is determined by Sharon Towne.
Upcoming events:
1.Thursday October 11,
The annual deanery day will be held at St. John's in Dunsford. 15 churches will meet for coffee and muffins followed by a potluck luncheon. St. John's members will provide the hot dishes and members of the other 14 churches are invited to bring a salad or dessert. The speaker will be Ron King speaking about the charity “Sleeping children Around the World”. There will be an opportunity to buy Christmas gifts. This day will end with evensong. 2.Friday October 26,
Birthday Bash for Susan and Sharon at the Coby Legion.
Following discussion about refreshments to be served at the end of the evening it was decided “¦sandwiches/pickles/cheese/dessert, NOT hot dishes or salads.
Other concerns:
Yvonne Moore is in charge of the “sign up” sheet for after church coffee. She has been busy looking after a sick friend in Barrie and it was noted that the sheet has a lot of gaps. Mention was made of the wonderful occasions hosted by "the boys of St. James" and the celebration cakes made by Dallas Ginn. We also want to encourage people to sign up simply to make and serve the coffee and tea and use whatever “left over” cookies etc are available in the church fridge/freezer. Hopefully some of those gaps can be filled.
In regards to our new formation there was discussion on how to handle all our new catering opportunities and it was agreed to continue with the “team” method with Arlene and Joe as the number one and two in the command hierarchy.
